Time Blocking: A Full Guide to Scheduling Your Day in Blocks

Time blocking is a scheduling method where every hour of your workday is assigned to a specific task or category of work in advance, turning an open to-do list into a concrete calendar. Practitioners like Cal Newport report 2–3x more meaningful work completed compared to a reactive to-do list alone.

A to-do list tells you *what* to do. A time-blocked calendar tells you *when*. The second one wins.

Step 1 — Categorise your work

Group tasks into 3–5 buckets: Deep Work, Shallow (email/admin), Meetings, Personal, Buffer.

Step 2 — Block the day

Open LemTask's Day Schedule panel (calendar icon). Drag a task onto the timeline to create a block. Colour by category.

Step 3 — Protect Deep Work first

Schedule your hardest work into your 2 peak hours (usually mid-morning) before anything else grabs them.

    Step 4 — Leave buffer

Block 25% of the day as unscheduled buffer for overruns, urgent asks, and thinking time. Fully-packed schedules always fail.

Step 5 — Reconcile at end of day

What blocks got done? What overran? Adjust tomorrow's blocks based on the truth, not the fantasy.

Google Calendar sync is two-way — LemTask blocks appear on your calendar and calendar events show in your schedule so you can time-block around meetings.
